Committee Meeting 2, 2005

Confirmed minutes of meeting 02/05 of the Monash Gryphons Cricket Club, held at 6.00pm on Wednesday 13 July 2005 in MONSU Meeting Room, Level 2 Chisholm Tower.

Meeting Opened: 6.05 pm

2. Men’s Coach
Steve reported that Piyush and himself had met with Craig Robinson, one of the candidates for the men’s coaching position, and they were both impressed. Alok Rajpal had also been called several times, but as he has not responded, Steve assumed that he must be out of the country.

Steve suggests that considering official pre-season training begins tonight, the committee should go forward and formally ask Craig Robinson to be coach, considering he has Level 1 coaching training, while Alok does not.

Dave N asks how much the club was looking to pay Craig for the coaching position. Steve responds that the payment would be $3000 on a 1 year contract.

Steve and Dave N are to work on the contract in the coming weeks.

3. Budget/ Affiliation Kit

Trevor passes around a budget that he has prepared for the 2005/06 season. He notes that he made a slight increase to the membership fees, based on the discussion at the last committee meeting. There is still the possibility of increasing fees even further.

Trevor runs through all aspects of the budget with the committee. He explains that he had thoughts of offering a discount to members for those that actively took part in fundraising throughout the year, including those that have already sold entertainment books.

The committee agreed that this could go ahead.

Steve notes that if we are to increase fees, there could be the possibility of creating a third turf side.
Trevor notes that the budget could allow for this, and that the club could always pull the third team out of competition if there is not enough interest.

Katherine B suggests that the committee should contact all male players to see if there is enough interest in the side.

Steve notes that we need to inform the Mercantile Cricket Association of how many teams are playing by August 18. Trevor suggests that this would give us enough time to get a response from players.

Piyush reminds the club that players could always double up and play on the Saturday and the Sunday.

Steve asks what all committee members think of introducing a third turf team.

Catherine J notes that while she doesn’t have anything against the team, she is concerned that the girls might have a problem with an increase to their fees to pay for another men’s team.

Steve asks that we determine fees now, so that the membership forms for Gryphons could be given out as soon as possible.

‘That the membership for season 2005/06 be increased as per Trevor’s budget, and that membership discount be introduced for those members that actively take part in club fundraising’

Steve reminds the committee that the early membership payback raffle will still take place this year.

Dave N asks the committee what they do about collecting memberships from international students.

Steve responds that they are cheap anyway because they are students, and that they will not be selected in the side until they pay their membership fee.

Steve tells the committee that the affiliation kit for Monash Sport is almost complete, and even more so that the budget is now done.

4. Twenty20 match

Steve has contacted the football club and they seem interested in having a Twenty20 match. He will keep in contact with them over the coming months. It is looking like the match will be held on the weekend before the Grand Final.

Cat notes that she has received interest from some of the girls for a girls match as well.

5. Fundraising

Trevor tells the committee that the Entertainment books are still being sold – there are quite a few left.

The possibility of having a Cadbury Fundraiser was raised. Cat and Piyush offered to organise the drive.

6. Pre-Season

Steve notes that pre-season starts tonight with a spinning class at Monash Sport.

Cat asks about what happens when more than 20 people turn up to the indoor sessions at the Cricket Centre?

Steve is not sure, but the 20 people figure is only a guide given by the centre to clubs. There will be an emphasis on getting into the outside nets as soon as possible.

Trevor brings up the bill that needs to be paid for the council amenities.
Steve believes that Shelley had cleared all debts with the council. Dave N to contact the council on our behalf.
It was decided to move money to pay for the bill, as it is from this year

Cat also mentions that the round application has to be in by Friday. Steve will complete it.

Katherine B mentions that the VWCA affiliation kit has arrived and that fees are due by August 4. She will also be attending the AGM.

Piyush mentions that the MCA AGM is on August 15, which he will be attending. The MCA survey will need to be completed by then.

Affiliation fees for all association were discussed. It was decided that the club should authorise the payment for two MCA teams, and the VWCA team. An invoice has not yet been received from the SD&CCL.

‘That $1200 be authorised for the registration fees of two MCA teams for season 2005/06.’

Further money will be passed if and when a third turf team is approved, and when the club receives an invoice from SD&CCL.

Steve reported that at the SD&CCL AGM there was discussion about the competition being 2day matches. Trevor responded that as our team could be the 4ths, it should remain a one day team.

7. Players Survey
Steve does not have the results at present.

8. Equipment Purchase
Steve reports that Belinda Pearson is interested in taking on the role of Equipment Manager, although she will not be able to come to meetings as someone has to look after Matt.

9. Sponsorship
Dave H reported that he had been in contact with two pubs in the Sth Melbourne area, but they are a fair distance from the ground, and he was keen to have players go for after training/after match drinks. He has had time to target the local area as yet.

Steve notes that he has rang the Racecourse Hotel several times but as yet there has been no response. Steve and Dave H to follow up with them after training.

Dave N asks about the cost of tonight’s spinning class, and how players will pay.

General discussion took place around costs, what happens when only a few turn up, and what happens when more turn up.

Trevor suggests that a maximum of $5 per person be set for spinning classes, with the club to pay the rest. The minimum should be set at $4 so the weeks could possibly balance out.

‘That the club pay $44 to Monash Sport for each spinning session. Further that the maximum amount that each person will have to pay be capped at $5 per session’

Dave N brings up the branding of our shirts with the Monash Logo. It is being looked into at the moment, but he reminds the committee that if the Monash University logo is on the shirts it might be difficult to get any other company/body interested.

The possibility of raising the match day fees was discussed but nothing formal was decided upon.

The next meeting will be held on Wednesday, August 10 at MONSU
