Monash University CC News Committee Meeting 3, 2005By Catherine JonesMinutes of Meeting 03/05 of the Monash Gryphons Cricket Club, held on 10 August 2005 at 6.30pm at MONSU meeting room, Chisholm Tower, Monash University Caulfield Campus Meeting Opened 6.30pm 1 Attendance Present: Stephen Pearson (chair), Catherine Jones (minutes), Katherine Broome, Trevor Dixon, David Harrison, Belinda Pearson Apology: David Nankervis (Monash Sport) In Attendance: Terry Jenvey (Monash Sport) 2 Minutes of Previous Meeting It was moved by the chair: ‘That the minutes of committee meeting 02/05 be accepted as a true and accurate record of that meeting’ Carried Unanimously 3 President’s Report Steve reports that there were 2 people at the last circuit training at Monash Sport, which was a disappointing turnout. He is hoping that more people show an interest in the training at Monash Sport, or else these sessions may have to be cancelled. 4 Treasurer’s Report Trevor hands around a revised budget for season 2005/06, including the new fee structure for the season. He explains the discount structure that was devised to encourage members to actively take part in fundraising. The conversation moved onto the rise in membership fees for the season. The committee decided that a rise in membership fees would be appropriate considering the following factors: 1. There has been a reduction in the grant that we receive from MONSU (about $1000 for this season). It is expected that with the introduction of VSU the grant available to us will drop even further. The committee felt that rather than increase the fees drastically in future seasons, a steady rise in the fees to compensate the loss of the MONSU grant would be better. Other options for compensating for the reduction of the grant will be discussed in detail at further meetings. 2. There is an increase in the cost of public liability insurance. At present it costs around $100 a side for insurance. Paying this means that all players benefit from better personal accident insurance. We also pay about $34 a month for the insurance of our equipment. The fee structure for members will be made available to all current and prospective Gryphons via the website. It was moved: “That the committee accept the budget of season 2005/06, with the inclusion of insurance costs” Moved: Steve Pearson Seconded: David Harrison Carried Unanimously The conversation moves onto the cost of creating and maintaining a 4th Men’s side. Steve reports that most of the feedback from the player survey that had been circulated in the past couple of weeks was positive, with the exception of a couple of players. The reasons that these players believed that a 4th side should not be created was because of the cost (if the side was not filled then the cost would come back to the club for match payments), and that there would need to be extensive recruitment for the club to ensure that the team can be filled now and in future seasons. Steve noted that he would be hurt seeing 3 or 4 guys miss out on playing, rather than having a team that was not completely filled. Trevor noted that the side that would possibly not be filled would be the synthetic side and not the turf side, and that it is not as costly to forfeit the synthetic side ($10 per forfeit). He also notes that the synthetic side will be harder to fill because everyone will want to play on turf. Steve notes that recruitment can be done, perhaps with the aid of the men’s coach. Dave notes that if we target players to recruit to the top sides, then there will be a filter down effect. We need to recruit for the club and not for the side. Steve notes that realistically 90% of players from last season will continue on. It was moved: “That the Monash Gryphons create a third turf side and authorise the payment of the $600 registration fee to the MCA’ Moved: Steve Pearson Seconded: Trevor Dixon Carried Unanimously The conversation moved back to the fee structure. Terry suggested that the two ‘unemployed’ categories be removed. He also suggested that the Monash Students category should be the lowest before adding affiliation. Therefore the ‘other Tertiary Students’ category needs to be raised. It was moved: “That the committee accepts the Monash Gryphons Cricket Club fee structure for season 2005/06 with amendments” Moved: Steve Pearson Seconded: David Harrison Carried Unanimously Other financial matters were discussed. The club needs to pay for the circuit class that was cancelled and for the class tonight. It was moved: “That the club pay $88 to Monash Sport for the cancelled class and for the class tonight” Moved: Steve Pearson Seconded: Catherine Jones Carried Unanimously 5 Business Arising From Previous Minutes 5.1 Affiliation Kit Steve reports that the kit is almost complete, except for committee signatures and the finalised budget. 5.2 Coaching Steve is pleased to announce that Craig Robinson is the men’s coach for season 2005/06. Campbell McLeod will be assisting Craig. Terry reminds the committee that they need the paid coach to complete a coaching contract. A job description will need to be added to the finalised contract A meeting will be organised between Craig, Steve and Dave N to discuss the contract. Cat asks that because the assistant coach is not paid, will he be made available to the girls team Steve replies that Campbell has shown no interest in coaching the girls 6 Correspondence 6.1 Correspondence In The only significant correspondence in was the application for the SD&CCL side. It was moved: “That the club pay $180 for the affiliation fees for the SD&CCL side for season 2005/06 Moved: Steve Pearson Seconded: Catherine Jones\ Carried Unanimously 6.2 Correspondence Out The only correspondence out was the bill to Glen Eira Council, and the VWCA affiliation kit. 7 Other Business 7.1 Equipment Belinda has created a list of equipment repairs and purchases that the club will need to make before the start of the season. The committee asked her to raise a 30 day invoice for all necessary costs. 7.2 Events Steve is keen to pen in the first event of the season. The committee assumed that this was going to be the Twenty/20 match on the 18th of September. It was decided that this will be the first official event of the season. Steve will stay in contact with the football club in order to decide whether we can open the kiosk on this day, with the club to take profits from the event. 7.3 Sponsorship David H reports that he is still searching for major sponsors for the 2005/06 season, but that he has ‘interesting feelers’. There has bee no contact from the Racecourse Hotel, which is a problem considering their logo is on our tops. 7.4 Recruitment Cat reports that she has recruited at least 4 girls to the Gryphons for the season, but the level of their involvement is yet to be seen. They all seem keen to play. 7.5 Membership Kit The membership kit will be developed in the coming weeks as the budget and fees have been finalised. 7.6 Signs in MONSU New signs need to be created for the MONSU building as the ones currently around are outdated. Cat and Steve to create new signs David H suggests that we look into buying a banner; he is willing to look into costs. 8 Next Meeting The next meeting will take place on the 24th of August at MONSU Meeting Closed 7.27 |
