Committee Meeting 6, 2005

Confirmed minutes of meeting 06/05 of the Monash Gryphons Cricket Club, held at 7.00pm on Monday 10 October 2005 in the East Caulfield Reserve clubrooms.

2. Minutes of Previous Meeting

3. President’s Report
Steve reports that the club has managed to fill every side for the first two rounds, and while there have been no wins, he is pleased with the enthusiasm.

4. Treasurer’s Report
Trevor reports that there the club took $150 for pre season training, which gave us a profit of $12. Memberships are slowly coming in, and are going through Bel and Steve so that they can have registration details of all paid players.

Steve adds that this year he is keen to not have an ‘Access’ database, but would rather all details of all Gryphons (including the girls) be kept in the Results Vault system.

Trevor notes that whenever any ‘paperwork’ is handed to him for membership, could it include what type of membership is being paid.

As Bel purchased practice balls at the start of the season, and made equipment repairs, she needs to be reimbursed. The repairs were counted for in last seasons budget.

Trevor reported that the discount scheme for fundraising should be implemented, but no Gryphon will receive their discount until they have paid as a member. At the completion of the chocolate drive, discounts will be given out.

It was also reported that Ben Costar was given his membership fee back as the winner of the MGCC membership raffle.

Trevor reports that as a result of the Entertainment Book fundraising, the club sold 40 books, which means that we receive $480.00

Megan and Trevor have both made drink purchases for the kiosk – Trevor will be reimbursing through petty cash.

Trevor noted to the committee that he took drinks down to the game last weekend in an esky and sold about $50 worth of drinks. At the moment he is selling Gatorades for $2.50 and soft drinks for $1.50. He suggests that every time there is more than one Gryphon team playing at home at Fawkner Park that they should meet after the game to have after match drinks.

It was reported that the Reds CC still owe us money for the 6 white balls we purchased for them at the start of the season.

It was reported that Megan has volunteered to run the kiosk at Wednesday night training.

It was also reported that at every match that the girls have the main oval, they are to have the kiosk. Southside CC took over the kiosk on the weekend, even though the girls were at home.

Cat reports that the chocolates had arrived at her place and that the bill will have to be paid by 4 November. It was decided to authorise the money now, so a cheque can be raised.

5. Business Arising From Previous Minutes
5.1 Chocolate Fundraising.
As before, the chocolates have arrived, and will be available at Wednesday night training for Gryphons to collect. Cat is going to ‘mix-up’ the boxes so there are a variety of chocolates in each box, as this should help more chocolates to be sold.

Each chocolate is to be sold at $1, and the club stands to make a profit of around $1000.

As discussed in an early meeting, every box that a Gryphon sells will mean a $10 discount on their membership.

5.2 Keys
Bel reports that the change over at the club rooms was completed in the last week of September. For the records, Catherine Jones, Stephen Pearson and Craig Robinson all have keys to the clubrooms.

5.3 Twenty20 match vs MGAFC
Steve asks the committee whether they think that the match should go ahead. The footy club have not been responding, but Trevor thinks that they will be doing selection for the match at their Presentation night, which is this week. They therefore still seem keen to have the match.

The problem is that we won’t have the main oval for the game, so the match will have to be played on the smaller ground. Catherine, Katherine and Belinda are all playing on the Sunday this weekend, and Trevor is doing a bike ride, so the only committee member that would be available to run the game would be Steve, as Dave H has injured himself.

The committee therefore leaves the decision up to Steve, however, they all note that drinks and food could be sold from the kiosk, so a bit of money could come to the club through this match. IT would also be good to build our relationship with the football club.
5.4 Refurbishment of ECR nets
Steve reports that the council have placed wood underneath the gaps in the nets to prevent balls going through. The only problem is that the wood is quite springy.

We have been given a grant from the council to the value of $1000 to help with the repairing of the nets, however this money has not arrived yet. Steve to speak to the council about it.

Correspondence has still been continuing between us and Southside CC about repairing the nets.

It is envisioned that we will repair the synthetic batting squares, place synthetic over the raw concrete at the ends of the pitches and also place synthetic over the bowling run ups. We are not allowed to extend the concrete to full pitch length because of council ‘red-tape’.

Steve also suggests to the committee that we look into purchasing rubber backing for the nets, on the inside of the cage, as this would protect players and balls.

Bel notes that she is still concerned that the club is going to be paying a substantial amount of money to repair the nets, and the general public will still be able to use it. She would still like us to find some sort of way to either restrict the public use, or make the council pay for all costs.

Trevor notes that last time the synthetic needed replacing, it was us that did it. Perhaps this time it should be Southside.

Steve reports that the centre wicket on the big ground will be repaired in the next financial year, by the council.

5.5 Centre Wicket nets
Steve reports that Craig is still keen for the club to repair the portable net so that it can be used at training. Craig is checking to see if he has some pegs that the club could use.

We still need to buy new poles for the net, and on measurement, they are 9ft tall.
It was decided that we should price and buy poles in the next couple of weeks.

6. Correspondence
6.1 Correspondence in
Catherine reported that the only correspondence in was the chocolates, and lots of junk mail, and email.
The girls received a redraw for this season, as Spotswood CC pulled out of the competition.

6.2 Correspondence out
Clearances for several players have been made.

Anne McDiarmid has been cleared to play for us.
Priyank Gupta has been cleared to play for us, from St Andrews
Neeraj Kher has been cleared by us to play for Carnegie

7. Other Business
7.1 Events
It was decided that the proposed trivia night on the 29th of October be cancelled as this is Cup weekend, and the response from players might not be that great. A trivia night will still be held at some point during the season.

It was decided that there will be an event on the 12th of November, and that it shall be held in the Gryphons Clubrooms.

7.2 Sponsorship
Deferred as David Harrison is not present.



7.3 Caulfield vs Clayton match
Priyank Gupta has been in contact with the committee as he has organised a match between some staff from the Clayton and Caulfield Campuses of Monash University. He has organised the match for the 21st of October, and would like to know if they could borrow some gear for the match.

The committee decides that they can borrow gear, but they must be of the understanding that if they damage anything, they will be paying for the repairs. They would also like to purchase 2 match balls off us.

Bel volunteers to go down to the ground to help out, and possibly run the kiosk. Catherine believes that she too can be there.

The committee believes that they should help out in this instance to do something for the university.

7.4 MCA player roster
The MCA has instructed all clubs to provide a player that could umpire in the cases where two umpires are not available. In the instance that they are short, the club will be contacted on the Tuesday, and told which match they need to provide an umpire for.

Whoever umpires will be paid $100 for doing so. If we don’t provide an umpire, then the Association will take points of our highest placed team.

The committee is to ask the player group to fill this role, and the MCA has made sure that we are rostered on days that we are not playing.

7.5 ResultsVault purchase
Steve reports that we need to pay an extra fee of $55 to place our synthetic side into the ResultsVault system. The other teams are already in and their fees are covered by the affiliation fee to the MCA

7.6 Women’s Coach
Another individual has approached the club interested in coaching the girls. Steve doesn’t think that they would be appropriate.

Katherine Broome is to follow up with what is happening with our ad through the VWCA

Marlon Boustead has expressed interest in helping the girls out, except that he might not be available at training because of work commitments. The Gryphons also cannot pay him until he becomes a qualified coach.

7.7 Fantasy Cricket
Steve reports that the Fantasy Cricket has been set up again this season, and so far 17 people have registered. However, only 3 people have paid.

Steve is also able to get an iPod cheap through his work as the major prize.

7.8 St George Banking
Kunal Tyagi has approached the club with an incentive for fundraising. He is now working for St George and is offering $500 for every Gryphon that goes to St George for a home loan.

As the only thing that we have to do is paperwork, the committee believes that we should go ahead with it. It can be promoted through the website and through email.



7.9 Scoreboards
At the moment there is only one scoreboard in use, as the other is at the Baulch residence to be repaired.

The MCA is cracking down on clubs having scoreboards for their home games, and therefore the Gryphons should look into purchasing more, considering the girls also need a scoreboard.

Belinda has done some pricing through Greg Chappell stores, and for the kind of scoreboard that we have, it will cost $580, but there are also portable scoreboards that will cost $175.

Bel also notes that Tracy has contacted the committee as Max is interested in giving the club some money for his company to be advertised on the scoreboards. Cat to send an email to Tracy about scoreboard, and ask what Max is willing to pay, etc.

7.10 Liquor Licence
Bel is going to bring the police check forms for the exec to fill out to training on Wednesday. We need to give 30 days notice to the public before selling alcohol. Bel is still happy to be the licensee.

There is a RSA course on next Monday night, which will cost $25 for each person. Bel and Megan are to attend the course. Two places have already been booked.

It was noted that with our licence, Southside won’t be covered, and they therefore cannot sell alcohol within our designated times, which are Sunday games, and Monday and Wednesday training sessions.

It is important that we get the licence as any person can report us to the police, and if we are caught all committee members are liable for a $6000 fine each.

7.11 Fridge
It has come to our attention that the fridge doesn’t work anymore. As it has been donated to the club we can do with it what we will.

Dave H’s dad might have an old one that we can use.

The committee decides that as it would cost about the same amount to purchase a second hand one as it would to make repairs, then we might just have to buy another.

It was also decided that the soccer club should be contacted to ask what happened to it as it was during their ‘use time’ that the fridge died. Maybe they should pay for half as they use it just as much as we do.

7.12 Australia Day Match
It is our turn to host Sunbury United CC for the Australia Day match.

Steve thinks that there would be more interest from them if the match was on turf, but turf pitches would cost $250 for casual hire as it is outside of the normal seasons matches.

Steve to make initial contact with the club to see if they are interested in paying for half the fee. It would work out to about $10 a player. It would also be perfect training for both clubs.
