Committee Meeting 2, 2002

Minutes of Committee Meeting 2002/03-1 Wednesday 12th of May, 2002
Held at: The Bennett Household, 2a Epping St, East Malvern

Meeting commenced at 7:00pm.

2. Minutes of Previous Meeting
The previous club secretary (Kelly Morris) distributed the minutes of the AGM via e-mail. All current committee members had read them. Angie Dickson moved that the minutes be accepted as an accurate and true record. Tracy seconded the motion. Vote. Dave Bennett moved that the amount owed to the MCA was actually $125, not $175. Vote. Motion carried.

two coaching courses and to liaise with Craig Robinson.



4. Meeting Dates

5. Finances
Outgoing treasurer, Vanessa Henderson reported, and handed over to the MGCC committee, all remaining cash.

Dave Bennett reported that Glen Eira City Council has issued the MGCC with an invoice for $1,197.58 for utilities at East Caulfield Reserve.

Shelley Wilson moved that the Tracy Widdows become treasurer. Bec MacLeod seconded the motion. Vote. Motion carried.

Shelley Wilson moved that the Natalie Abbott and Tracy Widdows become joint VWCA delegates. Dave Bennett seconded the motion. Vote. Motion carried.

Action: Dave Bennett to collect an affiliation kit from MONSU.
Action: Dave Bennett and Tracy Widdows to finalise last years budget, as well as do a budget estimate for season 2002/2003
Action: Tracy Widdows to head up working group to look at future planning


6. Club Sponsorship
Following on from Bec MacLeod great work with preparing an e-mail to send to the club, it was decided that for club members to approach there employers that it would be best for us to provide them with a generic letter of offer. This would help better explain what we as a club can offer their organization.

Action: Bec MacLeod to prepare draft sponsorship letter
Action: Shelley Wilson to help prepare any further posters, and to investigate with Dave Bennett the addition of more advertising via MONSU, including: the student handbook, OTICO, and flyers.
Action: Dave Bennett to e-mail the previous sponsorship proposal information to Bec MacLeod.

7. Equipment
During the last 2 weeks, all four of our sides match kits have been stolen from East Caulfield Reserve. These kits contained all of our equipment that we have as a club, with the exception of some miscellaneous equipment and a collection of bats that were being repaired over winter by Dave Bennett. This will detailed further in an appendix to these minutes. The Police have managed to recover one of our kits (The 3rd XI kit) complete with contents. Dave has also prepared an emergency kit for winter training. All of the club equipment has been removed from ECR, and placed under lock and key at the Hall in Monash University. The only person with a key to the equipment is Dave Bennett.

Action: Dave Bennett and Stephen Pearson to liaise with Frank Interrigi about insurance, and replacing all equipment before the season commences.



8. Pre-Season
Action: Discussion moved to next meeting
Action: Shelley Wilson to prepare draft of revised membership form for review at next meeting

9. Recruiting
Current recruiting ideas:
· Dave Bennett and Bec MacLeod have done great work to quickly place recruitment posters around Monash, and at the Oakleigh Indoor Sports Centre.
· Angie Dickson has moved to place a similar poster on the SD&CCL website, especially targeting female players.
· Dave Bennett and Bec MacLeod to be present at a table on the open day for international students. This could earn MGCC $100 during multicultural week.
· MGCC is to approach local High Schools, to recruit more female players.
· Dave Bennett proposed to buy a cricket bat to raffle to new players, to encourage them to use the bat at the club.

Action: Natalie Abbott to talk to the VCA about approaching local high on our behalf
Action: Dave Bennett and Bec MacLeod to be present at International Student Open Day
Action: Shelley Wilson to be present on campus during Open Day (unless it falls on 11 August)

10. Functions
The following are a draft of the Function Nights for the MGCC during season 2002/2003:
· Sunday 22nd September: practice match / captain presentations.
· Saturday 26th October:
· Saturday 30th November:
· Saturday 14th December: Christmas Party
· Saturday 18th January: Welcome to 2003 Party
· March: Finals Party
· Saturday 26th May 2003: Presentation Night.

Action: Angie Dickson to approach the Racecourse Hotel to investigate what deals can be achieved by using their facilities for the above functions.

11. Club Apparel
Action: Moved to next meeting

12. Review of Training Procedures
Action: Dave Bennett and Natalie Abbott to discuss review of current procedures and to form a sub committee to redraft them.
Action: All committee members to review the current selection policy document for discussion at next meeting

13. Player Details
Action: Stephen Pearson to send an e-mail to all existing club members to gain most resent personal details.

14. MVP Sponsorship
Action: Bec MacLeod to draft proposed procedure for electing a club MVP.

15. Coaching Appointments for Season 2002/03
Currently the Monash Gryphons Cricket Club has one women’s coach (Craig Robinson) and one men’s coach (Mike Drew). Both coaches will be presented with revised job descriptions and appointments will be confirmed shortly thereafter, on the proviso that both coaches are happy with the expectations placed on them and that the committee is satisfied with their responses.

It was raised that with two women’s teams for season 2002/03 that Craig Robinson’s payment for coaching be doubled. This to be at the discretion of MONSU.

Action: Dave Bennett to contact Mike Drew regarding changed job description.
Action: Dave Bennett to liaise with Frank Interrigi on the topic of the women coach’s wages


16. Other Business
The following was also discussed:
· A possible review for the procedure of electing captains.
· Shelley Wilson to liaise with the working group for the review of match day responsibilities of captains and coaches. This group comprises of Coach Craig Robinson and former captain Sally Whammond.

Action: All other business moved forward to next meeting.
