2. Minutes of Previous Meeting
The Minutes of the previous meeting held on 26/04/2003 were presented for acceptance, without amendments.

MOTION: ‘That the minutes of meeting held on 26/04/2003 be accepted’.

3. President’s Report
Discussion:
Shelley Wilson presented the attached president’s report.

Shelley wished to thank the support of the committee, the club captains, and coach Craig Robinson.

4. Treasurer’s Report
Discussion:
Tracy Widdows presented the attached club financial report for season 2002/03.

The report was dependant upon the result of our insurance claim for the stolen equipment from before the start of the season.

Tracy expressed the point that the club needs to ensure that more playing members, become paid members.

Michael Josem advised the club that due to an arrangement between Monyx and Monsu that no student (as therefore our club as a student club) would be worse off, financially under the new merger with Monyx.


5. Election of Office Bearers
5.1. President
Shelley Wilson was nominated for the position of President by Kelly Morris, and seconded by Tracy Widdows.

5.2. Vice President
Belinda Browne was nominated for the position of Vice President by Natalie Abbott, and seconded by Rebecca MacLeod.

5.3. Treasurer
Tracy Widdows was nominated for the position of Treasurer by Kelly Morris, and seconded by Shelley Wilson.

5.4. Secretary
Stephen Pearson was nominated for the position of Secretary by Vanessa Henderson, and seconded by Matthew Varcoe.

5.5. Sponsorship Manager
Angela Dickson was nominated for the position of Sponsorship Manager by Kelly Morris, and seconded by Shelley Wilson.

5.6. Events Manager
The Events Manager position was absorbed into the committee, to be the responsibility of the entire committee, not a single person.

5.7. Equipment Manager
Vanessa Henderson was nominated for the position of Equipment Manager by Natalie Abbott, and seconded by Angela Dickson.

5.8. MCA Delegate
Don Baulch was nominated for the position of MCA Delegate by Shelley Wilson, and seconded by Tracy Widdows.

5.9. SD&CCL Delegate
The role of SD&CCL will be filled by the club secretary until such time as a third eleven captain has been appointed.

5.10. VWCA Delegate
Natalie was nominated for the position of VWCA Delegate by Rebecca MacLeod, and seconded by Vanessa Henderson.

5.11. Committee Member without Portfolio
Akshay Atri was nominated for a position on the committee by Shelley Wilson, and seconded by Belinda Browne.

5.12. Committee Member without Portfolio
Megan Rourke was nominated for a position on the committee by Craig Robinson, and seconded by Rebecca MacLeod.


Action: As there was only one nomination for each of the positions, all elected members were duly appointed.

6. General Business

6.1. Men’s Association Affiliations
Discussion:
Akshay Luther raised the issue of affiliations for the two, and possible three Monash Gryphons men’s team for season 2003/04. Stephen Pearson noted that all considerations needed to be taken into account and upon further evaluation this could be discuss at the next committee meeting.

Action: Affiliations moved to the next Committee Meeting

6.2. Training Facilities
Discussion:
Brad Sullivan raised the issue of training facilities, and the possibility of having a home turf ground. The possibilities that exists are (but are not limited to):
· Turf pitches at ECR
· Monash Clayton Facilities
· Use of Righetti Oval (Coles Myer’s home ground)

Action: Training facilities bookings moved to the next Committee Meeting

· Tracy for keeping us in the black and keeping on MONSU’s back
· Angie for the great function and sponsorship organising and overall contribution to profits
· Nat and Mrinal for general support and for taking care of the associations we play in
· Bel for taking on the role late in the season (and Don for helping out when we needed it at the start)
· And most of all, my right hand man, Steve, for keeping us all honest with our promises and for generally running the club, including training (indoor and outdoor) so well, and for the Rebel Sport Rebate Program, along with the many other diplomatic roles he played in our dealings with the council and other clubs
· We inaugurated the 1%er awards, with a degree of success, and would like to see it develop into a permanent fixture of the club
· Thanks also to the captains, in particular the mens’ leaders (Don, Lloyd, Steve and Mrinal) who took a big step up to fill the gaps when we needed it most. A great effort by Nat to lead the girls to a grand final and a good start by Angie (and me, twice) with the new women’s side.
· Sadly, we could not replace men’s coach Mike Drew at short notice but thanks to the guys who stood up (the usual suspects – Steve, Don, Lloyd, John Leroy etc.) Steve and I are already interviewing likely suspects for next season and will be trailing a candidate at the first indoor session. Well done to Robbo for another successful year.
· This season, due to circumstances beyond our control which affected many other clubs also, turf training also proved illusive, although we tried our best and will endeavour to secure a facility during this pre-season
· Willowfest saw our lowest ever turnout by the guys and I sincerely hope that we can field a strong squad for next year. The girls successfully defended their title and I have no doubt will return with enthusiasm to bring home the trifecta!
· While it was a tragedy to withdraw the 3rds just after Christmas, I think we have the skills (and more importantly) the numbers to give it a red hot go again next year. Mrinal’s recruiting efforts must be acknowledged as outstanding.
· Membership numbers are still my greatest concern and I hope that we will see more of our regular players make that financial commitment to the club next season so that we can afford to provide the things we need, as well as those little extras like turf training, a quality coach and heavily subsidised drinks
· I also acknowledge the players for their enthusiasm and commitment; in particular those honoured at presentation night but not forgetting the battlers who put in 100% every week but just aren’t start material yet (or anymore). Of note this season were our two 100 gamers: Glenn Wadley and Tracy Widdows. I hope we see a few more pass this milestone in the coming season, and seasons to come. Great clubs aren’t created overnight and this long-term love for the Gryphons is what has made us great and will continue to keep us great.
