2. Minutes of Previous Meeting
The Minutes of the Meeting Number Two held on 14 July 2003 were presented for acceptance, without amendments.
MOTION: ‘That the minutes of the meeting held on 14 July 2003 be accepted’.

3. Election of Captains
As only one application had been received for each of the available captaincy positions, it was agreed that no vote would be required. However, Megan raised the question of Karen Taylor’s availability to attend training regularly, which contradicts the requirement for captains to attend a minimum of 80% of training sessions. Subject to Craig Robinson’s endorsement of Karen as captain, all applicants were accepted, as follows:
­ Men’s First XI: Rob Pasante (previously appointed as Captain/Coach)
­ Women’s First XI: Karen Taylor
­ Men’s Second XI: Stephen Pearson
­ Women’s Second XI: Angie Dickson
MOTION: ‘That the three applicants for captaincy positions be accepted for season 2003/04’.

4. Outstanding Accounts
4.1. Glen Eira City Council
SP advised that the alleged outstanding invoice for approximately $2500 was being resolved by Frank Interrigi and the cheque had in fact been raised some time previously, but GECC had applied it to the incorrect account.
4.2. Xavier College
A second invoice for $240 has been received for use of the indoor training facility known as the Stephenson Centre. Combined with the previously issued invoice for $160, our total amount owing to Xavier for pre-season training is therefore $400.
MOTION: ‘That the club pays Xavier College $400 for use of indoor training facilities in the pre-season’.

4.3. Kelly Morris
Kelly Morris paid for affiliation of our two women’s teams at the VWCA AGM and requires reimbursement of $145.
MOTION: ‘That the club reimburse Kelly Morris the sum of $145 being for VWCA affiliation fees’.

4.4. Glen Eira City Council
An invoice was received for $393.54 (due 4 October), being the first instalment of ground fees for East Caulfield Reserve. The decision to pay was deferred, pending the outcome of a discussion about the future of the Men’s Third XI.
4.5. Payment of coaches
Steve confirmed that Rob Pasante has offered to donate his fee back to the club in the form of merchandise for sale and weekly awards, at his discretion. Don collected banking and tax forms from MONSU for both coaches, to be passed on by Steve.

5. Safety Policies
Megan distributed a copy of the policy to each member present. Some discussion followed, particularly on the subjects of sunscreen (definitions of hats), smoking (how far do we go and who will enforce it), and reporting of injuries. The question of having a qualified first aider at every match was also discussed.
All committee members are required to read the policy and forward comments to Megan by email before the next meeting.
Steve undertook to email all members and ask who has current first aid certificates so that Megan can maintain a register.

6. Pants for Women
The decision for A grade women players to decide on a week-by-week basis if they will all wear pants or culottes was confirmed.
Shelley to contact Kelly Morris in order to find out if and how many women players wish to purchase pants in bulk through the VWCA.

7. Results Vault
With the introduction of Results Vault to the VWCA, all of the Monash Gryphon teams will now be using the system from this season.
Belinda will update results for the women’s sides and Steve will continue to do so for the men. [Ness just realised that Bel is pregnant!]
Kelly, Angie and Belinda will be attending various VWCA training sessions on scoring, umpiring and results vault shortly.

8. Annual Statement by Public Officer
Steve received a request for an annual statement from the Department of Justice (a requirement since we obtained an ABN). The lodgement costs $35
Shelley to pass to Frank Interrigi to complete and lodge, as part of the requirement is a financial report.
MOTION: ‘That the club pay $35 for lodgement of the Annual Statement by Public Officer’.

9. Business Cards
Angie advised that due to personal reasons she had not yet been able to follow up with her contact to obtain a sample. Se undertook to look into it again.

10. Practice Matches
Steve confirmed that the men will play a practice match against Southside on the main oval on 28 September.
Steve advised that he had not yet confirmed with North Caulfield regarding the women’s practice match, to be played the same day.
Steve also advised that the outer oval would not be ready for play by that date and it was agreed that we would play a ‘double header’ on the main oval.

11. C&S Raffle, Rebel Sport Rebate and Cadbury Fundraiser
Payment has not yet been received for any of these fundraising activities.

Megan advised that we will receive approximately $500 for the Cadbury chocolates

12. Merchandise
Steve informed the committee of Rob Pasante’s idea to increase membership fees to include a club cap for each player. Angie suggested that a playing shirt might be better as many people already have caps.
13. Rules of the Club
Discussion deferred to next meeting, however Steve will update captains names etc.
All committee members to read club rules and email any feedback to the whole committee.

14. Coaching Appointment
Shelley and Steve to arrange formal interview with Frank Interrigi so that Rob Pasante can be officially engaged as coach.

15. Recruitment
Angie requested that we get in direct contact with Lisa Jordan as she does not receive emails.
Steve advised that he receives an average of 2 emails per week from students, however few show up to training.
Shelley reported that she had contact from a possible new recruit, Sue Whitelaw, who will be available from October.
Steve undertook to forward an email to Shelley and Angie regarding the collapse of Melbourne Tooronga and possible recruiting to be done there.

16. Coles Myer merger option for Men’s Third XI
Steve updated the committee on his discussions with Coles Myer regarding a possible merger of their Second XI with our Third XI, to play in MCA D Grade.
Discussion followed.
Essentially it will cost around $1500 more than continuing in the SDCCL, and there are many downsides to the idea (club unity, financial…)
An open vote was held, with the following outcome:
Stay in SDCCL – 3 votes
Disband the Third XI – 1 vote
Move into MCA – 1 vote (but noting that the financial side was a problem)
Stay in SDCCL and recruit to ensure success – 2 votes
The decision was made to maintain the current arrangement and keep the Third XI in the SDCCL competition, with heavy recruitment and a commitment from other players (men and women) to ensure that early-season forfeits do not occur.
MOTION: ‘That the club pay $180 for affiliation of the Men’s Third XI in the SDCCL’.

17. Pre-Christmas MCA Matches
Don referred to an email from Alec Khan (MCA) regarding the options to play the pre-Christmas match (14 December) as a one-dayer, and asked how we should respond.
Steve advised that we are one of the four clubs who had requested this, therefore no further action was required.
